Amendments to your booking & cancellations

It is possible to make changes to your booking up to our online booking deadline (72 hours before the day of travel), by visiting our website and using the login details you receive when you make your booking. After the booking deadline, you will need to contact our office, detailing the changes you wish to make and we will make the amendment for you.

As long as the changes you are making to your booking are before the booking deadline and do not effect a change in the cost of the transfer (for example by adding extra passengers means we have to use additional or larger vehicles) then we will not charge you any additional fees or admin charges.

For last minute changes to your booking, we will always do our very best to accommodate your requirements without passing on any additional costs to you.

Booking Your Transfer
 
 

Book online – simply use the Quote Generator, select your transfer and receive an instant confirmation of your booking. If you can't find the transfer you are looking for, contact our office and we will be happy to help.


Payment is taken in full at the time of booking and we accept major credit, debit cards and payments from Paypal accounts.


Details to include on your booking:


Total number of passengers - please make sure you include infants and children in the total number of passengers in your party, e.g. if three adults, one child and an infant are travelling, you will need to book the transfer for five people.


Overseas accommodation address - in any resort there may be more than one hotel, apartment complex, chalet or villa with the same name, so try to provide the full address to avoid confusion.


Mobile Phone Number - This is really useful, if we need to get hold of you once your journey has begun, or during your stay and we send an SMS confirming your pick up time for your departure, the day before you are due to leave. Your number will show on your booking and we, or our suppliers will also see this number, but it will not be given to any other person or organisation.


Booking Confirmation - When you confirm your booking and payment is taken, you will automatically receive an email booking confirmation which will confirm that payment has been taken and the balance paid in full and details of your transfer. This will also detail instructions about what to do on arrival.

It's essential that you take your booking confirmation with you on your transfer. This must be shown to the driver or our representative before you can board your transfer vehicle.

Delays
 

On your arrival.

Wherever possible, we monitor flight arrival times for delays. However, it really helps, if you can ring the emergency number on your booking confirmation to inform us of any delays as soon as you become aware of them.


If you've booked a private transfer and your flight is delayed, your driver will still be there to meet you as you arrive.

If you've booked a shuttle or shared transfer and a flight delay means yu miss your original transfer, you’ll simply be allocated to the next transfer with seats available.

Flight Cancellations
 
 

If your arrival flight is cancelled we ask that you let us know as soon as possible.
If we are given sufficient notice then it may be possible for us to refund or rearrange your transfer at no extra cost. Where this is not possible, we will always provide you with a statement for your travel insurance that you may use to make a claim.
If you have booked a return transfer, this is still valid, or if you are no longer travelling due to the flight cancellation you should be eligible for a full refund of that leg of the transfer.

Lost Property
 

If you leave property in a transfer vehicle on arrival, please call or email us and one of our team will assist in tracing and retrieving the lost property for you.

Luggage Allowance
 
 

The standard luggage allowance is one piece of hand luggage and one small suitcase/holdall only per person.

If you plan on bringing any over-size luggage, please specify this on the booking form.
If you are unsure as to what classes as over-size luggage, or if we will be able to accommodate your luggage, please contact us in advance to discuss your requirements.

Reconfirming Your Return Transfer - It’s essential that you reconfirm the details of your return transfer.
 

Your return pick up time is confirmed by SMS to the phone number you provide at the time of booking. You will receive this SMS by 17:00 the day before you are due to depart. If you do not receive the SMS please call the number on your booking confirmation to confirm your pick up time.


 

If you have changed accommodation since your arrival transfer and will be departing from a different place, or, if you change the date or time of your return flight, you must let us know by calling the reconfirmations number on your booking confirmation at least 72 hours prior to your original departure date, so we can make new arrangements for your return transfer.


If you have an accident whilst away and require extra room in your return transfer vehicle (e.g. extra seat space to elevate your leg), please contact us on the number on your booking confirmation.

Transfer Service Options

We offer shuttle and private services


We offer both shared shuttle and private transfers within our extensive worldwide program.


Shared and Shuttle Transfers

This is a shared transfer which operates to the main holiday hotels, apartments and complexes, therefore offers you great value for money. There is no limit to the number of people you can book on a shuttle transfer.

The size of vehicle and transfer time does depend on the number of drop-offs and are entirely dependent on the number of people arriving at a similar time to you and going to the same resort or area. A shuttle transfer could operate in a taxi, minibus or coach. In most destinations you’ll have no more than a 60 minute wait until the shuttle leaves the airport.


Private Transfers

This means you are not sharing the vehicle with any other groups. The vehicle is for your party alone, it leaves the airport as soon as you arrive and takes you directly to your accommodation.


Depending on the location, the following additional options may be available:


Private Executive Transfers

This is where we offer an upgrade from our private standard taxi transfers for a nominal extra charge. For this you will benefit by receiving a more spacious vehicle, providing you and your party more comfort. On arrival you will be met by your own personal driver and escorted to your waiting executive vehicle for a comfortable and relaxing journey to your destination.


Limousines

We offer both limousines and stretch limousines. Our Chauffeurs will transfer you in celebrity style, comfort and luxury.


Private Minibus Transfers

These are ideal for the larger family, or small groups who want to travel together. Your driver will meet you upon arrival, escort you and your party to your private minibus and transfer you immediately to your accommodation, thus a speedy, efficient and no hassle option.


Private Coach Transfers

The private coach transfers are for the larger groups who want to travel together and have a direct and quick journey to their accommodation. Your driver will meet you upon arrival, escort you and your party to your private coach and transfer you immediately to your accommodation.

Travelling with Children
 

All children and infants count towards the occupancy of the vehicle, regardless of age, and thus must be included in the total number of passengers at the time of booking. For Example; if you’re a party of 3 adults, one child and a baby, you will need to book a vehicle that seats a minimum of five people.


Baby/child booster seats: We are happy to provide these on your transfer completely free of charge.
In order for us to do this they must be specified at the time of booking. Descriptions of the correct weights for the seats can also be found on the website. If in any doubt please contact us directly to discuss your requirements, or you can also bring your own baby/booster seats.

Your Transfer
 

On arrival, once you have collected your bags and cleared Customs, make your way to the meeting place detailed on your booking instructions. In some airports we or our supplier will have a desk; in others you’ll see our driver, or representative holding a sign. You’ll have to show your driver or representative your VaVroom.com booking confirmation to board your transfer vehicle.


If you can’t find your driver or our representative, please call us on the emergency number detailed on your booking confirmation.

 

Drop-off and pick-up points: All of our private transfers provide a door to door service, unless your accommodation is only accessible on foot, in which case we’ll drop you off and pick you up as close to your accommodation as possible.
 

If you’ve booked a shuttle transfer, depending on the vehicle access, you will be dropped off at your accommodation, at a nearby accessible hotel, or at a central point in resort. On your return shuttle transfer you’ll normally be picked up from the same place you were dropped off at.

Your pick up time for your departure transfer is confirmed the day before you are due to leave, by SMS to the mobile phone number you provide on the booking form.
